Truebeck Construction, a leading general contractor known for tackling complex projects, places strong value on internal alignment, communication, and culture.
One of their most important management practices is the “O3”—a weekly one-on-one meeting between employees and their managers designed to surface feedback, set direction, and build stronger working relationships.
While O3s were considered vital to company culture, the practice was inconsistently applied and difficult to track. To address this gap, Truebeck partnered with Yeti to build O3 Notes, a custom, mobile-first platform that streamlines the scheduling, agenda-setting, and feedback process—ensuring that O3 meetings are easy to manage and consistently executed across the organization.
Although O3 meetings were intended to serve as a cornerstone of Truebeck’s employee development framework, several barriers stood in the way of effective implementation:
Lack of Structured Feedback
Without a standardized system, notes and action items were often lost, reducing the value of these meetings.
Scalability Issues
As the organization grew, the informal, manual tracking of meetings became unsustainable.
Risk of Miscommunication
Inconsistent practices led to misunderstandings and missed opportunities to address team needs, ultimately impacting engagement and satisfaction.
Truebeck considered purchasing off-the-shelf HR software but found that most tools were too expensive and didn’t align well with their field-based workforce or internal workflows. They needed a simple, intuitive tool tailored to their people, environment, and Microsoft ecosystem.
Yeti designed and built O3 Notes: a lightweight, user-focused web application tailored to the specific ways Truebeck teams schedule, conduct, and follow up on their O3 (one-on-one) meetings. The platform was developed with three key goals in mind: improving meeting management, ensuring accountability, and keeping the experience as simple and intuitive as possible.
At the heart of O3 Notes is the goal of making one-on-one meetings more effective and consistent. The tool streamlines the entire process—from scheduling and agenda setting to note-taking and follow-up—ensuring that meetings are not only held but lead to meaningful, actionable outcomes.
To support this, we designed O3 Notes around the specific needs of two user types: employees and managers.
Employees can:
Managers can:
With team members spread across offices and job sites, simplicity was critical. O3 Notes was designed to be mobile-first and frictionless, with a clean interface that makes scheduling and reviewing meetings quick and intuitive—whether on a desktop in the office or a phone on-site. Minimal training is required, making it accessible across a wide range of roles and tech comfort levels.
As development progressed, Truebeck collaborated with Yeti to expand the platform’s capabilities and improve the user experience. Several enhancements were introduced, including:
Together, these features not only support the day-to-day logistics of managing meetings—they also provide a flexible, scalable foundation for future improvements and deeper insights into team engagement across the organization.
O3 Notes has helped bring structure, clarity, and consistency to one of Truebeck’s most important cultural practices. By empowering direct reports to create agendas and giving managers a clear way to leave and review feedback, the platform makes 1:1 meetings more meaningful, trackable, and productive.
By eliminating the need for costly SaaS licensing and delivering a tool purpose-built for Truebeck’s mobile, distributed workforce, O3 Notes has proven to be both a cost-effective and culturally aligned solution. And with its user-friendly design, Microsoft integration, and roadmap for ongoing improvements, the platform is well positioned to support Truebeck’s people-first management practices as the company continues to grow.
